Using Zapier to manage your Google reviews

Zapier hosts thousands of apps that you can connect, creating automatic workflows which otherwise may take hours out of your day as an Estate Agent.




Some of my most useful workflows are created by connecting apps to Google Reviews. This is simple but extremely effective.








Google Reviews are of great importance to our Estate Agency. Every month, we would count the number of Google reviews each staff member and office receives, to award them accordingly. However, with 7 different offices, therefore 7 separate Google Business pages, we knew there must be an easier way to record each review.







Our first workflow connects Google Reviews to an Excel spreadsheet. I have outlined below how we set this up.










After clicking ‘Make a Zap’, select Google My Business, and choose ‘New Review’ in the Trigger Event. Sign into your Google Business account when Zapier prompts you to do this, which will allow Zapier to view the account on your behalf. Select the location of the review and continue to test the trigger.


You can now connect this trigger to a second app, which is where we select Excel. You can choose Google Docs or any other file format you prefer.






Before heading to the next step, set up a document format where you would like your reviews to be added, and save it to One Drive or Sharepoint. A screenshot of how ours is set up is added below.

Back in Zapier, select ‘add row’ in the action event, and log in to your excel account. You can then choose where your file is stored- One Drive or Sharepoint and select the file you have previously created.


Connect the date, name, rating, and comment to the correct sections in your test trigger.


Finally, test the action and check your spreadsheet to make sure it has appeared, and columns are correct.




We have also set up a workflow between Google Reviews and Teams. This allows all staff members to see a review as soon as it comes in, without having access to the Google Business page.




With all staff members in one Teams group which all Google Reviews are zapped into, encouragement and motivation to achieve more 5* reviews are at a record high.
